- Workplace and facility information
- Professional title, and registration number
- Service usage data and analytics

- Name and ID
- Health information shared during consultations

- Log data, including time of access and features used
- Analytics data related to Service usage
- Conversation recordings during the processing period (Audio recordings and raw transcriptions are not stored after processing)

4. Data Processing and Security4.1 Data Processing
All data processing occurs within the European Economic Area. Advanced language models analyze conversations to generate clinical documentation while maintaining privacy and confidentiality. No patient data is being used to train any model.
4.2 Security Measures
We implement appropriate technical and organizational security measures, including:
- Strong authentication for all users
- Encryption of data in transit and at rest
- Regular security assessments and penetration testing
- Access controls and audit logging
- Automated data removal procedures
- Staff training on data protection and security
5. Data Retention
- Clinical documentation generated by RecorDr is available to healthcare professionals for 14 days after creation, after which it is automatically deleted from our systems
- Audio recordings and raw transcriptions are processed in real-time and are not stored
- User account information is retained as long as the account is active
- Log data is retained based on local laws governing healthcare softwares, up to 12 years

Please note that requests regarding medical records should be directed to the healthcare provider, as they are the data controller for patient information. RecorDr serves as a data processor in this relationship and the patient note is deleted after 14 days as standard.8. Legal Basis for Processing

2. Service Description
RecorDr is a speech recognition tool for healthcare professionals that utilizes advanced language technology to analyze conversations between healthcare providers and patients, creating clinical documentation that can be reviewed, edited, and approved before being transferred to the patient record system.
3. Account Registration and Security
- You must register for an account to access the Service. You agree to provide accurate information during registration and to keep your account information updated.
- You are responsible for maintaining the confidentiality of your login credentials and for all activities that occur under your account. Notify us immediately of any unauthorized use.
- We reserve the right to disable any account if we suspect fraudulent or abusive behavior.
4. License and Use Restrictions
- Subject to your compliance with these Terms, we grant you a limited, non-exclusive, non-transferable, revocable license to access and use the Service for your internal purposes.
- You may not:
- License, sell, or commercially exploit the Service

- We may suspend or terminate your access with or without cause. If termination occurs without cause during a subscription, a refund may be provided for the unused portion.
- Upon termination, your access ends immediately and your data may be deleted.

9. Disclaimer of Warranties

- Audio recordings and raw transcriptions are processed in real time and not stored
- Clinical documentation is accessible for 14 days, then deleted automatically
- Final documentation is transferred to official health records as determined by your provider
